Activating daily Google Workspace Data Sync

How to get data from Google Workspace to SignatureSatori on daily basis

SignatureSatori offers an automatic daily synchronization feature to keep your user data aligned with your Google Workspace directory without the need for a manual intervention.

For users with a Subscription, this also means that changes made by an admin in Google Workspace (e.g., updating a job title) will be automatically reflected in SignatureSatori after the daily sync, and subsequently updated in the user's email signature during the next signature sync.

Prerequisites

To use the automatic daily sync, you need either:

Manual synchronization, as described in our main guide, remains free for all users.

Setting Up Daily Synchronization

  1. Navigate to Settings > Automation Features within SignatureSatori.

  2. Locate the Google Workspace Data Sync settings.

  3. Confirm Sync Activation: Confirm that the checkbox next to Enabled is checked. (This is enabled by default after purchasing a Subscription or the Google Workspace Data Sync for Credits.)

  4. Configure Synchronization Scope: Once enabled, the following applies:

    • User List sync is always active: The fundamental synchronization (User List - Add new users and remove deleted from Google Workspace) runs automatically every day. This ensures your user base in SignatureSatori matches Google Workspace.

    • Additionally, choose optional modes: You can choose to also synchronize the following data daily by selecting one or both options:

      • User Details - Rewrite from Google Workspace directory: Select this to update user profile information. You will then choose one of three sub-options:

        • Write data from Google Directory only where currently empty

        • Rewrite all except empty in Google Directory

        • Rewrite all from Google Directory.

      • Reload/rewrite Group membership: Select this to update user group memberships based on their Google Workspace OU structure.

  5. Click Set to save your configuration.

Triggering an Immediate Sync

After setting up or changing your daily sync configuration, you have the option to trigger an immediate synchronization using the newly saved settings right away, without waiting for the next scheduled daily run. Look for the "Sync immediately" button, located in the lower-left area below the sync mode options, after saving your settings.

Disabling the Daily Sync

You can pause the daily sync by unchecking the Enabled checkbox and saving the settings (clicking Set). This will disable all automatic daily synchronization.

This can be useful if you are making significant structural changes in your Google Workspace and want to prevent premature synchronization before your changes are complete.

Importance for Other Automations

Activating Google Workspace Data Sync is an important prerequisite if you wish to automate signature management further. Based on your settings, you can automate actions for users newly added or moved between groups:

  • With Subscription: You can configure automation rules to automatically purchase more subscription seats and include new (or moved) users in your Subscription. This means a signature template will be automatically applied to them. Learn more here: Subscription Automation
